Privacy Policy

Gold Star Group, Inc., doing business as BuildersBFF ("we," "our," or "us"), operates the BuildersBFF construction management application and the website buildersbff.com (collectively, the "Service"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Service.

1. Information We Collect

Account Information: When you create an account or start a trial, we collect your name, email address, phone number, company name, and billing information.

Project Data: The Service allows you to enter and manage construction project data including project details, task schedules, subcontractor and vendor information (including contact details and insurance records), expense and payment records, lien waivers, change orders, daily logs, photographs, punch lists, permits, inspections, client selections, warranty information, signatures, and company profile information.

Third-Party Contact Information: The Service allows you to enter contact information about people who are not our users — including your subcontractors, clients, inspectors, and vendors. You are responsible for having an appropriate basis to provide us with that information, and for any consents required to contact those individuals through the Service. See Section 6 (Text Messaging).

Usage Data: We collect information about how you access and use the Service, including your IP address, browser type, operating system, pages visited, and diagnostic data.

Cookies and Session Data: We use cookies and similar technologies to maintain your login session and preferences. You can instruct your browser to refuse cookies, though the Service will not function properly without them.

2. How Your Data Is Stored

Your project data is stored on cloud servers that we control. When you enter data into the Service, it is transmitted to and stored in a hosted database located in the United States. It is not stored solely on your device.

This means we are able to access your account and project data. We access it only as needed to operate, support, secure, troubleshoot, and improve the Service, to respond to your support requests, or where required by law.

Data is encrypted in transit and at rest by our hosting providers. Access within your account is controlled by your team permissions.

Team accounts: If you are invited to an account as a team member, the project data in that account belongs to the account owner, not to you individually. The account owner and administrators can view, edit, and remove data you enter, and can remove your access at any time. Your name or email address may be displayed to other members of the account — for example, to show who entered a daily log entry.

3. How We Use Your Information

We use the information we collect to:

4. Service Providers We Share Data With

We use third-party companies to operate the Service. These providers process data on our behalf and are not permitted to use it for their own purposes. They include:

5. AI Advisor

The Service includes an AI Advisor that answers questions about your projects. When you use it, the relevant portions of your project data — which may include project details, schedules, budgets, subcontractor information, and other content in your account — are transmitted to Anthropic, a third-party AI provider, in order to generate a response.

Under our agreement with Anthropic, your data is not used to train their AI models. The AI Advisor is optional; if you do not use it, your project data is not sent to Anthropic.

AI-generated responses may be inaccurate or incomplete. Do not rely on them for legal, financial, or construction decisions without independent verification. See our Disclaimer.

6. Text Messaging (SMS)

The Service may send text messages to phone numbers you enter — for example, schedule notifications to your subcontractors, or notifications to you about your account.

Consent

We only send text messages to recipients who have consented to receive them. Before a subcontractor or other third party receives automated messages from the Service, they receive a one-time message asking them to confirm, and messages are sent only after they confirm. If you enter a third party's phone number into the Service, you represent that you have a business relationship with that person and an appropriate basis to provide their number to us for this purpose.

Opting out

Recipients may reply STOP to any message to opt out of further messages at any time, or HELP for assistance. Opt-out requests are honored automatically and immediately. Recipients may also contact us at info@buildersbff.com to be removed.

Message frequency and charges

Message frequency varies depending on project activity. Message and data rates may apply. Carriers are not liable for delayed or undelivered messages.

How we handle mobile numbers

We do not sell or share mobile phone numbers or text messaging consent with third parties or affiliates for marketing or promotional purposes. Phone numbers collected for text messaging are used only to deliver the messages described above, and are shared only with our messaging provider for the purpose of delivering those messages. Text messaging originator opt-in data and consent are not shared with any third parties for their own purposes.

7. Data Retention and Deletion

We retain your account and project data for as long as your account exists.

When you delete a record in the Service, it is hidden from view but retained in our systems. We do this so that data can be recovered if something is deleted by mistake. It is not permanently erased automatically.

If you cancel your subscription, your data is not deleted. You will not be able to log in, but you may resubscribe and pick up where you left off. We recommend exporting a copy of your data before your billing period ends.

You may request permanent deletion of your account and all associated data at any time by contacting us at info@buildersbff.com. We will permanently remove it from our active systems within 30 days of your request. Deleted data may persist in encrypted backups for a limited period before those backups expire in the ordinary course.

8. Data Security and Backups

We take reasonable measures to protect the information we collect, including encryption in transit and at rest, access controls, and regular backups of the production database. However, no method of transmission over the Internet or method of electronic storage is completely secure, and we cannot guarantee absolute security.

You are responsible for maintaining the confidentiality of your account credentials, for the access you grant to team members, and for notifying us promptly of any unauthorized use of your account.

We recommend that you periodically export a copy of your data using the Export feature in the Service and retain it in a location you control.

9. Your Rights and Choices

You may access, update, export, or delete your data at any time through the Service, or by contacting us at info@buildersbff.com. You may close your account at any time.

If you are a resident of the European Economic Area (EEA), you have certain rights under the General Data Protection Regulation (GDPR), including the right to access, correct, or delete your personal data, and the right to data portability.

If you are a California resident, you have rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information is collected, the right to delete personal information, and the right to opt out of the sale of personal information. We do not sell personal information.

10. Children's Privacy

The Service is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children under 18. If we become aware that we have collected personal information from a child under 18, we will take steps to delete that information.

11. Third-Party Links

The Service may contain links to third-party websites or services that are not operated by us. We have no control over and assume no responsibility for the content, privacy policies, or practices of any third-party websites or services.

12. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new Privacy Policy on this page and updating the "Last updated" date. You are advised to review this Privacy Policy periodically.
