1. Overview

This Privacy Policy explains how Gold Star Group Inc. ("we," "us," "our") collects, uses, shares, and protects information when you use BuildersBFF (the "Service"). By using the Service, you agree to this Policy. If you do not agree, do not use the Service.

The Service is a business tool for construction professionals. Much of the information in the Service is entered by you about your own business, your projects, your subcontractors, and your homeowner clients. You are responsible for having the right to enter that information and for how you use it. See Section 6.

2. Information we collect

2.1 Account information. Name, business name, email address, phone, and login credentials you provide when you create an account or invite team members.

2.2 Business and project data you enter. Project details, schedules, activities, budgets and costs, expenses and payments, bids, contacts, permits, inspections, photos, notes, and similar information you enter to run your jobs.

2.3 Third-party information you enter. Information about your subcontractors and suppliers (such as contact details, license numbers, and insurance information) and about your homeowner clients (such as names, addresses, contact details, and project and payment information). You provide this; we process it to operate the Service for you.

2.4 Documents and signed records. Documents you create, upload, send, sign, or store, including lien waivers, change orders, construction contracts, proposals, and selection sheets, and the signed versions and audit records of those documents. These documents may contain homeowner, subcontractor, project, payment, contract, and lien-related information.

2.5 Payment information. When you subscribe to a paid plan, payment is handled by a third-party payment processor. We do not store full card numbers. We receive limited billing information such as your plan, billing status, and the last four digits and expiration of your card.

2.6 Usage and technical information. Basic technical data needed to run and secure the Service, such as log-in events, device and browser type, and error logs.

3. How we use information

We use information to: provide and operate the Service; create and manage your account; process subscriptions and payments; send documents for signature and return signed documents to you; send service-related messages such as scheduling notifications, billing notices, and account alerts; provide support; secure the Service and prevent abuse; and comply with law. We do not sell your personal information.

4. How information is shared

We share information only as needed to run the Service, including with service providers (sub-processors) that act on our behalf, in these categories: cloud hosting and database; website and application hosting; email delivery; electronic signatures (Firma); and payment processing. These providers may access information only to perform services for us. We can provide the current list of specific providers on request at allan@goldstargroupinc.com.

We may also share information: with people you choose to share it with (team members you invite, and subcontractors or homeowners you send documents to); to comply with law, legal process, or a lawful government request; to protect the rights, safety, or property of Gold Star Group Inc., our users, or others; and in connection with a merger, acquisition, or sale of assets, subject to this Policy.

5. Data retention

We keep your information for as long as your account is active and as needed to provide the Service. After an account is closed or lapses, we retain your data for a limited period, generally about 60 days, so you can export or reactivate it, after which it may be deleted, except where we must keep certain records to comply with law or resolve disputes. Signed documents and their audit records may be retained as part of the document record.

6. Information about homeowners, subcontractors, and other third parties

When you enter or upload information about a homeowner, subcontractor, or other third party, you represent that you have the right to do so and to have us process it to provide the Service. You are responsible for providing any notices to, and obtaining any consents from, those individuals that the law requires. We process that information as a provider acting on your instructions.

7. Security

We use reasonable technical and organizational measures to protect information, including access controls and encryption in transit. No system is perfectly secure, and we cannot guarantee absolute security. You are responsible for keeping your credentials safe and for controlling who you invite and share documents with.

8. Your choices

You can access, update, or export much of your data directly in the Service. You can ask us to close your account and delete your data by contacting allan@goldstargroupinc.com, subject to the retention section above. Depending on where you live, you may have additional rights over your personal information, and you can contact us to exercise them.

9. Children

The Service is for business use by adults and is not directed to children. We do not knowingly collect personal information from children.

10. Changes to this Policy

We may update this Policy from time to time. If we make material changes, we will provide notice by email or in the Service. The "Last updated" date shows when the Policy last changed.
